About the Job

The Strata Repairs and Maintenance Coordinator is responsible for coordinating, tracking, and managing property repair and maintenance activities on behalf of Strata Managers. Handling the full maintenance lifecycle—from initial request assessment and contractor quote collation to work order issuance, emergency response, and invoice verification—this role ensures timely task completion while adhering to strata safety and policy standards.

Responsibilities

  • I. Work Coordination & Scheduling
  • • Receive, assess, and prioritize repair requests; obtain quotes from approved contractors, prepare comparison summaries, issue work orders, and coordinate contractor property access.
  • II. Emergency Repairs Management
  • • Respond promptly to urgent or after-hours maintenance issues following established escalation procedures; coordinate emergency contractor attendance, log incident details, and produce follow-up summaries.
  • III. Contractor & Compliance Coordination
  • • Maintain approved contractor rosters, verify essential compliance documentation (insurance, licenses, SWMS) prior to assigning work, and track Certificates of Currency.
  • IV. Documentation & Reporting
  • • Log repair activities in the management system, cross-check contractor invoices against issued work orders, maintain repair registers, and prepare maintenance status updates.
  • V. Stakeholder Liaison & Project Support
  • • Act as the direct point of contact between contractors, owners, tenants, and Strata Managers; follow up on pending works, and provide operational support during large-scale maintenance projects.

Requirements

Qualifications:

  • A. Education
  • • Senior High School Graduate, College Level, or College Degree Graduate.
  • B. Experience
  • • 1–2+ years of experience in maintenance coordination, dispatch, property management support, or general back-office customer service (Australian strata or real estate background is a strong advantage).
  • C. Technical Skills
  • • Proficiency in MS Office Suite (Word, Excel, Outlook).
  • • Familiarity with property management maintenance software or general ticketing/work order systems.
  • • High competency in review of compliance documents, quote comparisons, and job logs.
  • D. Soft Skills
  • • Excellent written and verbal English communication skills for contractor and client coordination.
  • • Exceptional organizational, multi-tasking, and prioritization skills under tight deadlines.
  • • Calm demeanor and quick problem-solving skills when managing urgent repair escalations.
