About the Job

The HR Assistant provides administrative and operational support across various HR functions with a primary focus on assisting with Industrial Relations, HR Compliance, and Employee Relations. The role will focus on assisting employee relations cases, disciplinary matters, HR documentation, investigations, and compliance. The HR Assistant will also provide support to other areas of HR, including employee engagement, recruitment, onboarding, employee records, attendance and leave administration, performance management, and other HR initiatives as required.

Responsibilities

  • I. Industrial Relations and Employee Relations Support
  • Assist in managing and monitoring employee relations and Industrial Relations cases.
  • Support the preparation and organization of documentation related to employee concerns, policy violations, and disciplinary cases.
  • Assist in the preparation and processing of Notices to Explain (NTEs), written warnings, disciplinary notices, and other HR correspondence.
  • Assist in coordinating administrative hearings, employee meetings, and case discussions.
  • Support the gathering and organization of information and documentation required for investigations.
  • Maintain accurate and confidential records of employee relations and disciplinary cases.
  • Monitor the status of ongoing cases and ensure that required follow-ups are completed.
  • Assist in addressing employee concerns and grievances and escalate matters to the appropriate HR representative when necessary.
  • Support the consistent implementation of company policies, Employee handbook, and Code of Conduct.
  • Assist in identifying recurring employee relations concerns and escalating trends to HR management.
  • II. HR Compliance Support
  • Assist in maintaining HR compliance records and documentation.
  • Support the preparation of documents required for internal audits, compliance reviews, and government requirements.
  • Assist in monitoring HR documents and records to ensure they are complete and updated.
  • Help maintain organized and confidential employee files and HR records.
  • Assist in tracking compliance-related activities and deadlines.
  • Support the HR team in implementing company policies and ensuring proper documentation for HR processes.
  • III. General HR Administration
  • Provide day-to-day administrative support to the HR team
  • Assist in preparing HR reports, trackers, presentations, and documentation.
  • Prepare HR-related letters, certificates, notices, and other employee documents.
  • Assist with filing, documentation, and record management.
  • Support the HR team in responding to employee inquiries and requests.
  • Assist in coordinating HR activities, meetings, and employee communications.
  • Ensure that confidential employee information is handled appropriately and securely.
  • IV. Recruitment and Onboarding Support
  • Assist the Recruitment team with administrative and coordination activities as required.
  • Support employee orientation and onboarding activities when required.
  • V. Employee Engagement and HR Initiatives
  • Assist in the planning and coordination of employee engagement activities and HR programs.
  • Support HR events, employee activities, surveys, and internal communications.
  • Assist in gathering employee feedback and preparing reports or summaries.
  • Support HR initiatives related to employee experience, culture, and retention.
  • Participate in HR projects and continuous improvement initiatives.
  • VI. Other HR Support
  • Provide administrative and operational assistance to other HR team members as required.
  • Provide backup support to other HR functions during periods of high workload or staff absence.
  • Assist with special HR projects and initiatives as assigned.
  • Perform other HR-related duties and responsibilities that may reasonably be assigned by the HR Manager or People & Culture Head.

Requirements

  • A. Education
  • Bachelor’s degree in Psychology
  • B. Experience
  • 0-1 year experience in Human Resources particularly in Industrial Relations
  • C. Technical Skills
  • Industrial & Employee Relations Documentation: Knowledge of labor standards, due process, and hands-on experience drafting Notices to Explain (NTEs), written warnings, disciplinary notices, and administrative hearing minutes.
  • HR Compliance & Records Management: Proficiency in maintaining confidential physical and digital employee files, tracking compliance deadlines, and preparing documentation for internal audits and government requirements.
  • HR Information Systems (HRIS) & Tracking: Familiarity with HR database software, attendance/leave tracking tools, and proficiency in MS Office (Excel, Word, PowerPoint) for compiling HR reports, trackers, and presentations.
  • General HR Operations: Ability to coordinate recruitment workflows, conduct onboarding orientations, and assist with employee engagement activities and feedback collection.
  • D. Soft Skills
  • Discretion & Confidentiality: Absolute integrity and tact when handling highly sensitive personnel records, investigation details, and disciplinary proceedings.
  • Active Listening & Conflict Resolution: High emotional intelligence to handle employee grievances, concerns, and sensitive discussions with empathy and impartiality.
  • Exceptional Written & Verbal Communication: Clear, professional, and precise communication skills for drafting legalistic HR notices, policy communications, and liaising across all levels of the organization.
  • Keen Attention to Detail: High accuracy in legal/HR documentation, case monitoring, record-keeping, and tracking case timelines.
  • Organizational & Time Management Skills: Ability to prioritize multi-faceted tasks across employee relations, recruitment support, and administrative deadlines efficiently.
